IR Solutions & Resource is a recruitment consultancy based in the North West of England. We specialise in recruitment in the Engineering sector. Under GDPR we are defined as a “Data Controller”.

IR Solutions & Resource care about your privacy and are committed to processing your personal information in accordance with fair information practices and applicable data privacy laws, including GDPR.

This notice explains how IR Solutions & Resource handles the personal information of all data subjects such as employees, applicants, interims, former employees, contractors, and temporary agency workers in the course of its recruitment activities. We may amend this notice from time to time, should it become necessary to do so. Please check from time to time to take notice of any changes we made, as they are binding on you.

We ensure that we are lawful, fair and transparent in the way that data is processed. Personal data is used for a specific purpose and only kept for as long as is required. We only record data that is required. All data is stored securely.  

Collection and Use of Personal Information

We will process your personal information to administer our employment or contractual relationship with you and to run our business. We may collect, use and transfer your personal information through automated and/or paper-based data processing systems. We also process personal information on an occasional or ad hoc basis (such as when an employee is being considered for a particular new position).

For clients we process minimal information on you and/or employees of your organisation so that we are able to assist with any recruitment needs you may have. Types of information processed are: company address, contact number, work emails, job titles and website. We keep record of any interaction between clients and IR Solutions & Resource in relation to candidates in the form of CV submits, interviews, placements and with clients & IR Solutions & Resource in the form of emails and telephone calls.

In the normal course of recruitment activities, we can collect the following types of personal information on candidates:

  • Personal identification information, such as your name, home address, date of birth, gender, work-related photographs, home and office phone numbers, and social media information;
  • Immigration, right-to-work and residence status;
  • Employment history, such as salary and benefits;
  • Job-related information, such as years of service, work location, employment ID, work record, vacation absences, contract data, and driving license, if applicable;
  • Educational and training information, such as your educational awards, certificates and licenses, qualifications, vocational records and in-house training attendance;
  • Recruitment and performance-related data, such as objectives, ratings, comments, feedback results, referee information and any other information given by referee, career history, work equipment, certifications, career and succession planning, skills and competencies and other work-related qualifications;
  • Information related to your usage of IR Solutions & Resource assets;
  • Information needed for compliance and risk management, such as disciplinary records, background check reports, security data, and any medical conditions or disabilities.

We use the personal info submitted to us in order to consider you for a relevant role. We collect personal info to provide the best possible employment opportunities that are tailored to you and assist you throughout your job search.

You may not be successful in your initial application, however, by using the information you have provided, we can let you know about any future vacancies that may be suitable for you.

We process personal information for following purposes:

  1. Workforce planning, recruitment and staffing;
  2. Workforce administration, offered compensation and benefit programs;
  3. Performance management, learning and development;
  4. Advancement and succession planning;
  5. Legal compliance, including compliance with government authority requests for information, liens, garnishments and tax compliance;
  6. Workplace management, such as travel and expense programs and internal health and safety programs,
  7. Internal reporting,
  8. Audit,
  9. To protect IR Solutions & Resource, its workforce, and the public against injury, theft, legal liability, fraud or abuse; and
  10. Other legal and customary business-related purposes.

In addition, we may process sensitive personal information if it is needed for legitimate business objectives or if it is required to comply with applicable law. Sensitive personal information will not be collected, processed or transferred, except where adequate privacy protection mechanisms are in place and after having first obtained your informed consent, if required by law.

Your personal information may be passed to the client and vice versa. Such data may include confirmation of your performance on a specific assignment, which the client may provide to us so that we can ensure you are performing at the standard requirements. Information will only be shared to ensure we can administer our employment or contractual relationship with you. We will not pass any personal data that is not necessary to fulfil our obligations to you and the client.

We may obtain information about you from searching for potential candidates from third party sources such as job sites.

Data Collection

The majority of the data we hold is freely given by the data owner and can be provided in a number of different ways: when candidates apply to one of our job adverts, when candidates send their CV directly via email, or when we source candidate data from a 3rd party (e.g. Job boards, LinkedIn). Data from clients is obtained when we have been involved in previous recruitment activity within your business, when we have received calls in relation to recruitment within your business, when our team have contacted you by means of business development activity, when we have attended the same networking events, or when you have been identified as a reference provider.

Disclosures

We may disclose your personal information for our legitimate purposes or a 3rd parties legitimate interests, for the continuity of our business / service, in the following circumstances:

  • Potential new employers
  • Past employers named as reference providers
  • Umbrella companies used to provide payroll services
  • Service providers who provide IT and system administration services, marketing platforms and website hosting services.
  • Professional advisers including lawyers, bankers, auditors and insurers who provide consultancy, banking, legal, insurance and accounting services
  • HM Revenue & Customs, regulators and other authorities
  • Other IR Solutions & Resource entities, joint ventures, sub-contractors, vendors or suppliers who perform services on our behalf for the aforementioned purposes; or
  • A newly formed or acquiring organisation if IR Solutions & Resource is involved in a merger, sale or a transfer of some or all of its business;

We may also disclose your details to any recipient:

  • If we are legally obliged to, such as by applicable court order or law;
  • With your consent, such as for employment verification or bank loans; or
  • When reasonably necessary such as in the event of a life-threatening emergency.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

Choice

We respect your right to object to any uses or disclosures of your personal information that are not

  1. required by law,
  2. necessary for the fulfilment of a contractual obligation (e.g., employment contract), or
  3. required to meet the legitimate interests of IR Solutions & Resource as an employer (such as disclosures for internal auditing and reporting purposes or other processing covered by this notice). If you do object, we will work with you to find a reasonable accommodation.

International Transfers

Your personal information may be transferred outside of the country where you work, including to countries that do not provide the same level of protection for your personal information. IR Solutions & Resource is committed to protecting the privacy and confidentiality of personal information when it is transferred. Where such transfers occur, we will assure that adequate protection exists either through appropriate contractual arrangements or as required by law.

Accuracy

We take reasonable steps to ensure that personal information is accurate, complete, and current. Please note that you have shared responsibility with regard to the accuracy of your personal information. Please notify us through your local site contact of any changes to your personal information or that of your beneficiaries or dependents.

Access

You may reasonably access and update the personal information pertaining to you that is on file with IR Solutions & Resource. You can exercise this right by contacting Sales@irsolutions.org.uk.

  • Your ability to access and correct personal information is not limited by transfers of personal information – the ability shall exist regardless of where personal information is physically situated within IR Solutions & Resource.
  • Your right to access your personal information may have some restrictions. For example, access may be denied;
    • in the case of recurrent access requests within a short time interval, or
    • where providing such access or correction could compromise the privacy of another person or unreasonably expose sensitive company information.

Consent

In certain circumstances we are required to have your consent to perform certain activities. This consent can be given in the form of an opt-in or soft opt-in option. We have to ensure your consent is freely given, you understand what you are consenting to, and are able to opt-out and back in at any time.

We are permitted to market information to you in relation to the recruitment services we offer until you advise us otherwise by way of opting out.

You can opt in or out verbally during our initial registration call/meeting or in writing to IR Solutions & Resource.

Right to Erasure

You can ask us to delete any information we hold about you if the law and our data retention policies no longer require us to hold it.

Security

IR Solutions & Resource takes precautions to protect personal information from loss, misuse, and unauthorised access, disclosure, alteration, and destruction. We have taken appropriate technical and organisational measures to protect the information systems on which your personal information is stored and we require our suppliers and service providers to protect your personal information by contractual means.

Retention

Your personal information will be retained as long as necessary to achieve the purpose for which it was collected, usually for the duration of any contractual relationship and for any period thereafter as legally required or permitted by applicable law.

IR Solutions & Resource will only continue to contact you for a period of two years after you have left our employment or registered interest to work for IR Solutions & Resource.
